# How to create an Airtable to Webflow sync

A step-by-step guide to setting up an Airtable to Webflow sync in PowerImporter

Your first sync should be done on an empty Webflow CMS. After that, when you sync again, PowerImporter will detect and modify only what has changed since the last sync. This prevents the creation of duplicates in your Webflow site.

### <mark style="color:orange;">**STEP 1 CREATE A NEW SYNC IN POWERIMPORTER**</mark>

\- Once you have created your PowerImporter account, navigate to "New syncs" on the top right corner.\
\- Click on "Create a sync for Airtable" to create your first sync

Please note that your Webflow CMS site needs to have collections set up, otherwise this error message will appear:

Do not forget to enter the 3 scopes when creating your Airtable token:\

\- Once all has been set up correctly, you will see a green "Mapped" field appear.

You do not have to map every single webflow collection field. Just map what you want to sync.\
Select each Airtable record you want to sync with the corresponding Webflow field.\
You can view the supported Airtable and Webflow fields, and how they match each other here.

Plesae note you can choose to sync back from Webflow to Airtable for the Slug and Webflow ID fields.\
This is optional. Leave "Ignore this field" if you do not want to sync back.

Once you have completed your mapping, click on Save and Continue.\

\- Map the unique identifiers: this is an important step. Choose a unique column identifier in CSV that has no duplicate value, so each row can be identified. Choose a Webflow collection field (plain text only) to contain that value. Ideally a slug.\
\- Choose your settings: create a new collection item in Webflow or ignore if the Webflow field does not already exist.\

# How to create a WordPress to Webflow migration

A step-by-step guide to migrating a WordPress blog to Webflow in PowerImporter

**To get started, you will need to access to:**\
\- your PowerImporter account [here](https://app.powerimporter.com/users/sign_in)\
\- your WordPress website\
\- your Webflow account, and have at least one CMS collection set up for your blog content.

**This is a reminder of what you can export from WordPress to Webflow CMS:**\
\- Post title\
\- Post content\
\- Featured image\
\- Slugs\
\- Authors (name/slug/email)\
\- Categories (name/slug)\
\- Tags (name/slug)\
\- Published date

**This is how PowerImporter will handle the different publishing statuses from WordPress to Webflow:**\
\- Published in WordPress > Published in Webflow\
\- Draft in WordPress > Draft in Webflow\
\- Pending review in WordPress > Draft in Webflow\
\
**This is how PowerImporter will handle the different visibilities from WordPress to Webflow:**\
\- Public in WordPress > Published in Webflow\
\- Private in WordPress > Published in Webflow\
\- Password protected in WordPress > Published in Webflow\
\
If you do not want your Private or Password protected blog posts to be exported to Webflow, you can either set these as Draft in WordPress (they will appear as drafts in Webflow), or delete them from WordPress before you do your export (they will not be exported).

**Remember the export can only be made:**\
\- from **WordPress posts** (not pages)\
\- to a **Webflow CMS site with a collection already set up for the content you are importing from Wordpress** (not static pages).

If you are migrating authors, categories and tags, you will need to have collections set up in Webflow for these too. \
You will also need to set up reference / multi-reference fields to connect your blog posts to authors, categories and tags.&#x20;

**Second method to connect your Webflow site in PowerImporter**\
You can also choose to use an API token (this is not the recommended method):\
\- Click on "Add new site" > Save and Continue<br>

\- You will need to create a V1 token in Webflow.\
\- Log into your Webflow account [here ](https://webflow.com/dashboard/login)and access the website you want to migrate your Wordpress blog to\
\- Follow these Webflow instructions on finding your API key: <https://university.webflow.com/lesson/intro-to-webflow-apis?topics=cms-dynamic-content#generating-an-api-access-token>\
\- Click on "Generate V1 token"\
\- You can ignore the warning message about switching to V2 tokens.[\

\- Go back to PowerImporter\

# Test & review your WordPress to Webflow migration

Using the Test & Review function before migrating

Before you run your WordPress to Webflow migration, you should use the Test & Review function to find and amend any errors. We recommend that you do so in order to spot an errors and have the opportunity to correct these before running your "real" migration.

**COMMON ERRORS INCLUDE:**\
\- Title too long: over 256 characters (this is a Webflow limitation)\
\- Image size too large: over 4MB (this is a Webflow limitation)\
\- No slug: if you are migrating your slugs from WordPress to Webflow, posts without a slug in WordPress will not be exported to Webflow at all. If you are not migrating your slugs, this will not be an issue.\
‍\
**LOGS WHEN TESTING & REVIEWING**\
Testing and reviewing enables you to run the sync without calling the Webflow API - it means you can test it and see if it will work.\
Your log will show whether there are any issues, which would show in a red column.

**ERROR FILTERING**\
\- You can filter the logs by Webflow category (on the left-hand side). They will be listed automatically by PowerImporter.\
\- You can also filter to only display the errors (on the right-hand side).\
\- The error log will show you which field of the blog post has an error. For example: name, slug, image, etc.\
\- Your error log will also tell you whether the blog post is skipped due to the error. *Skipping* means the blog post will not be imported to Webflow at all.

**DOWNOADING YOUR ERRORS**

This can make it easier for you to view all your errors at once.

Click on the "Export error logs" button, and an XLS file will be produced and downloaded to your computer.

**IF YOU HAVE ERRORS**\
We recommend that you correct your errors in WordPress before running your "real" migration.\
\- Correct your errors in WordPress\
\- Run another data export\
\- Go back to PowerImporter > Your syncs > *go to your migration* > Step 2 "Upload WordPress"\
\- Upload your new file\
\- Test and review again in Step 4

\
You can of course ignore the errors if they are not important to you.\

# How to link Authors, Categories and Tags to your WordPress Blog posts

If you are importing your Wordpress blog posts with their authors / categories / tags, you can follow our guidance below to make sure Webflow links your blog posts with their authors, categories and tags.

**STEP 1: Create collections in Webflow for categories / tags / authors**

In Webflow, you will need to create a separate collection for:

* authors
* tags
* categories&#x20;

if you are migrating these to Webflow, in addition to your blog posts content.

**It would look like this:**

You can name your collections as you wish, you do not have to name them as per the example above :)

**STEP 2 Create reference fields in Webflow for categories / tags / authors**

In your Webflow blog posts collection settings, you will need to create a reference field for authors, for collections, for tags.&#x20;

* For authors, a single reference field is usually used (if you have one author per blog post)
* For categories and tags, a multi-reference field is recommended, if you have several categories / tags per blog post.

**STEP 3 Map your collections & Fields in your PowerImporter migration setup**

In PowerImporter, once you have created your WordPress to Webflow migration:

### **How one-way sync works**

1. Import your content from the chosen source (CSV, Airtable, WordPress).
2. PowerImporter seamlessly creates new Webflow CMS items,  based on your data, during the first sync.
3. Any updates made in the source file are reflected on your Webflow CMS site during the next sync.

### **Optional two-way sync: Webflow to Airtable sync for items IDs and slugs**

While the one-way sync keeps Webflow updated, for Airtable to Webflow syncs, PowerImporter offers an additional benefit. \

PowerImporter **can sync back Webflow item IDs and slugs to your Airtable base.** \
\
This allows you to leverage these unique identifiers in Airtable for further automations or integrations with other tools. Simply map the Slug and Webflow Item ID fields in Step 4 > Map Airtable fields to Webflow Collection fields.

* **Table Views Mapping:** Refine the mapping between Airtable table views and the Webflow items they populate. This enables you to control which specific views within an Airtable table contribute data to your Webflow site.
* **Fields Mapping:** Modify the mapping between individual fields in Airtable and their corresponding fields in Webflow. This allows you to define how data from specific Airtable fields populates designated Webflow CMS fields.
* **Refresh Button:** Utilize the "Refresh" button (available in step 3 and 4) to upload the latest version of your Airtable data before you re-map.

### **What you can edit in a CSV to Webflow sync:**

# Auto-sync (Airtable only)

How to set up Auto-sync  for Airtable to Webflow syncs

While manual sync is the default mode in PowerImporter, you have the option to establish a schedule for automatic synchronization at specified intervals, caled Auto-sync.\
‍\
For instance, you can configure PowerImporter to perform the sync every 5 minutes (depending on your PowerImporter plan), ensuring your content is consistently current without manual intervention.

### **Step 1: Access the Sync Schedule Settings**

1. Log in to your Power Importer account.
2. Navigate to your sync, then click on "Schedule".

\
Please note the "Schedule" button only appears once you have completed one manual sync. This is to minimise the risk of errors during the automatic sync.

### **Step 2: Set Your Schedule Preferences**

1. **Time Zone:** Select the time zone that applies to your schedule. This ensures that the sync occurs at the correct time relative to your location.
2. **Start Time:** Determine when you want the first sync to start. Set this time using a 24-hour format. For example, if you want the sync to start at 3 PM, input '15:00'.
3. **Repeat Interval:**\
   Decide how frequently the sync should repeat. You can choose to repeat the sync every few hours or minutes depending on your needs, and on your PowerImporter plan.\
   If you choose to sync at a frequency that your plan does not match, you will see an error message.\
   For example if you subscribed to a Starter plan, and you try to sync every 5 minutes, you will see a message prompting you to upgrade your plan, because the Starter plan only allows an hourly auto-sync.\

4. **Step 3: Consider the Email notification option**\
   **‍**PowerImporter offers the option to receive email notifications if something goes wrong. This feature will alert you via email if the system encounters any issues during the automatic sync process. \
   We recommend that you tick that box to enable it. \
   The emails will be sent to the email address associated to your account.&#x20;

### **Step 3: Enable Automatic Sync**

**‍**Once you've set your time zone, start time, and repeat interval, enable the automatic sync by clicking on "Create Schedule".\
\
This will activate the schedule, meaning the system will automatically sync your data according to the preferences you've set.\
\
Keep in mind that with an automatic sync schedule in place, manual sync options are not available anymore.\
This is to ensure that your data remains consistent and the automated process works efficiently.\
If you want to go back to manual syncing, you will need to delete your auto-sync schedule.

**2. Embedding in Tools:** Embed the URL in Airtable or within an \<iframe>. This works best in scenarios where you want to integrate syncing capabilities seamlessly within your existing digital workspace.\
**3. As a Webhook:** Use the URL as a Webhook with a POST method for automated syncing. This is particularly effective for automated workflows where data needs to be synced in real-time or on a scheduled basis.\
‍\
**Benefits of the Public Sync URL feature**\
This feature offers swift and straightforward syncing operations. \
It also eliminates the need to share PowerImporter account details with your team members, enhancing security.

### <mark style="color:red;">**Important Consideration:**</mark>

\ <mark style="color:red;">**This tool should be used with care.**</mark> Once a sync is initiated via the Public Sync URL, there is no "undo" option, and no additional checks are performed. It's ideal for routine syncs with well-verified data but requires cautious use to avoid unintended syncs.

### **Here's a step-by-step walkthrough:**

**1. Direct Sharing:**\
\- Navigate to your Airtable to Webflow Sync, Step 5, Click on Edit > Embed\
\- Click on "Create" to generate the URL, then click on "Copy" in the Shareable section, to copy it.\

\- Team members simply click the URL to initiate an immediate sync.\

**2. Embedding in Airtable or an \<iframe>:**\

**4 Confirm the Action:**\
\- You will be prompted to confirm your decision. Confirm that you want to generate a new URL.\
**5 Distribute the New URL:**\
\- Share the newly generated URL with your team or embed it as needed.

### **Method 2: Revoking the Existing URL to Cancel the Previous Public Sync URL (Without creating a new one)**

**1 Log In to Your Dashboard:**\
\- Navigate to your PowerImporter dashboard and log in with your credentials.\
**2 Access the Public Sync URL Section:**\
\- Navigate to your Airtable to Webflow Sync, Step 5, Click on Edit > Embed\
**3 Choose to Revoke:**\
\- Click on "Revoke"\
**4 Confirm Revocation:**\
\- A prompt will appear asking you to confirm the revocation of your URL.\
**5 Confirm to proceed**\
Upon confirmation, the Public Sync URL will be revoked and will no longer initiate syncs.\

# Webflow Rich-text fields

Automatically turn your Airtable long-text fields with rich-text formatting into 100% compatible Webflow HTML fields.

In Airtable, you'll need to have a dedicated table that contains all the possible options for your reference and/or multi-reference field.

* **Keeps:** Items existed already in Webflow and remained unchanged
* **Updates:** Existing items in Webflow were updated because one or several data fields changed
* **Creates:** New items created in Webflow
* **Deletes:** Deleted items in Webflow because not present in the data anymore
* **Mapping errors:** this is validation done by PI before calling the API
* **API errors:** Errors that came back after calling the API.

The categories will only show if there are relevant items in there.\

# Getting email notifications for sync errors

If you have set up Auto-sync for your Airtable to Webflow sync, you can get email notifications in case your sync contains errors.

### <mark style="color:blue;">How it works</mark>

When you set up your Auto-sync, make sure you tick the box next to "Email me when something goes wrong". \
\
You will be notified by email when your sync contains errors or warnings. \
The email address is the one that your account is set up under. If you need to change the email address, you can do it [here](https://staging.powerimporter.com/users/edit).<br>

Webflow's API limits are 60 requests per minute. PowerImporter is designed to operate within these limits.

Despite precautions, sometimes the API might still return a rate limit error. This can happen if you're running other automations that also use the Webflow API, which may collectively exceed the rate limit.

\
\> During the sync preparation phase, if a rate limit error occurs, the import is aborted to prevent partial updates.\
\> During the sync create/update phase, PowerImporter will wait and retry the import until it can proceed without triggering the rate limit error.

\
**Recommended Actions:** If the import fails sporadically due to a rate limit error, you may choose to ignore it. PowerImporter will automatically retry at the next scheduled time.\
**Persistent Issues:** For recurring rate limit errors, consider increasing the delay between scheduled syncs in PowerImporter settings. This adjustment provides more space for any other automations you have running to complete their API calls without interference.

&#x20;You can downgrade and upgrade anytime in your PowerImporter account, by:

\- Logging into your PowerImporter account, \
\- Clicking on "Managing your subscriptions", and following the on-screen instructions.

### <mark style="color:blue;">**Understanding the CMS-Item limit in PowerImporter plans**</mark>

PowerImporter's CMS-item limit refers to the maximum number of unique records that can be actively managed and synced to your Webflow site within your current plan. \
This is a cumulative total, not a monthly allowance, meaning you can have up to 500 records in total at any given time for the Start Plan, 2,000 for the Growth Plan, and 10,000 for the Premium Plan.\

‍**Managing your CMS-Item Limit:**\
**‍**1. Continuous Syncs: You are free to modify and sync the records contained within this limit as many times as needed. The frequency of updates does not affect the limit.\
2\. Strategic Planning: To stay within this limit, plan your Airtable base structure and Webflow CMS collections carefully. Prioritize and maintain only essential records.\
3\. Regular Reviews: Regularly review your synced items to ensure that you are not exceeding the limit. Archive or delete records in Airtable that are no longer needed.\

‍**What if you exceed the limit?**\
\
If you exceed you CMS item limit, PowerImporter will notify you with a warning message, and additional records beyond the limit will not be synced.\
To manage more items, consider upgrading to a higher plan with a larger item limit. This can be done directly through your PowerImporter account settings.

### <mark style="color:blue;">**How to change your account email in PowerImporter**</mark>

Changing your email address is simple and secure. Just follow the steps below:\
1\. Access Account Settings:- Go to the ‘Account’ page within your PowerImporter dashboard.\
2\. Request Email Change:- Enter your new email address.- A confirmation link will be sent to the new email address to verify the change.\
3\. Confirm Your New Email:- Check your inbox for the confirmation email.- Click on the link provided to confirm the change. That's it!\

**What Happens Next?**\
Once confirmed, you'll be able to log in to PowerImporter with your new email address.\
Password Reset: You can also use your new email to reset your password if needed.\

‍**Don't Forget to Update Your Billing Email in Stripe:**\
**‍**Your billing email is managed separately through our payment processor, Stripe. Go to the ‘Subscription’ page in your PowerImporter account and click on "Manage Subscriptions." to access the Stripe billing portal.\
Scroll down and find "Billing information > Update information" under the Billing section to change your billing email. Don't forget to save!

Cancelling your account with PowerImporter is easy.\
First you will need to know whether you are on a free plan or on a paid plan. You can check if you have a subscription by going to your subscriptions page [here](https://app.powerimporter.com/subscriptions).\
Once you know which situation you are in, follow the guide below.\

‍**For Users on a Free Plan (no subscriptions):**

**1. Access Your Account:**\
Go to your [PowerImporter Account Settings](https://app.powerimporter.com/users/edit).\
**2. Delete Your Account:**\
**‍**Click on the "Delete my account" button. This action will lead to the permanent deletion of your account and all associated data.\
**3. Confirm Deletion:**\
**‍**You will be prompted to confirm your decision. If you're sure, proceed with confirming the deletion. Please note this will delete all data and syncs you had set up in PowerImporter. They cannot be retrieved after the deletion.

*Please note that if you previously held a PowerImporter subscription, and then cancelled it, you will need to follow the process below for users with a paid plan.*

**For Users on a Paid Plan (1 subscription or more):**

**1. Cancel your subscription(s):**

First you will need to cancel all your PowerImporter subscriptions by going to your subscriptions dashboard [here](https://app.powerimporter.com/subscriptions)\
\> Manage subscriptions > Cancel plan.\
**2. Contact Customer Service:**\
Once you have cancelled your subscriptions, send an email to <help@powerimporter.com> expressing your wish to cancel your account. Include the email address associated with your account so our team can identify your account as quickly as possible.\
‍**3. Account Deletion:**\
**‍**After checking that all your subscriptions are cancelled, the customer service team will proceed with the deletion of your PowerImporter account. Please note this will delete all data and syncs you had set up in PowerImporter. It cannot be retrieved after the deletion.\

# Can you publish content in Webflow CMS as draft items?

Currently, PowerImporter imports items directly to your Webflow CMS and publishes them **live**. ‍ If you're looking to have your items imported as drafts, here's what you need to know: PowerImporter does not have an option to import items into Webflow as drafts. All items imported are immediately live on your Webflow site.

If you have items in your Airtable database that are not ready to be be published, we recommend that you use the Views functionality to filter out records that are not ready to be published. ‍ This way when you sync with PowerImporter, you only sync the items that need to be published.


# Can you control the order with which items are created or synced in Webflow?

When using PowerImporter to sync your data from Airtable to Webflow, the order of items as they're created or synced isn't inherently controllable through PowerImporter.&#x20;

This is due to the way PowerImporter processes data in bulk actions. However, there are workarounds within Airtable and Webflow that allow you to manage the order of your items effectively:

1\. Create a Number Field in Airtable: Add a new field to your Airtable base, formatted as a number. This field can represent the desired order of your items when they appear in Webflow.\
2\. Sort in Webflow: After syncing your Airtable base with Webflow through PowerImporter, use Webflow's sort functionality within the collection list settings to sort items based on the number field you've created.

**‍**1. Create a Formula Field in Airtable: If you want to sort items by the time they were created, add a formula field in your Airtable base using the \`CREATED\_TIME()\` formula.\
2\. Map the Field in PowerImporter: Ensure this new formula field is mapped in PowerImporter to correspond with a field in your Webflow CMS.\
3\. Sort by Time Field in Webflow: Utilize the sort feature in Webflow to organize your collection items based on the mapped formula field, which reflects the creation time.


# I have synced but not all records have been updated - is this normal?

It intelligently tracks changes made to your Airtable records, including updates and deletions.

When you initiate a sync, **only the modified or removed records** will be reflected in the corresponding updates or deletions of Webflow CMS items.

# Can you sync to Webflow Ecommerce?

As of now, PowerImporter has not extended its functionalities to integrate with Webflow's ecommerce API. This is why you will see an error message when attempting to sync ecommerce data. \

Unfortunately, this means that you cannot use PowerImporter to sync ecommerce-related data such as products, variants, or categories to Webflow at this time. \

# Can I sync the number of CMS items in my plan regardless of how many fields are in each CMS item?

Yes, PowerImporter counts the CMS items in your Webflow site regardless of how many fields you have set up in your CMS collection settings.

So you can have the maximum number of fields allowed by your Webflow plan in your collection item, it will still be counted the same.


# Can I have several syncs for the same website in PowerImporter?

You can have several syncs in your PowerImporter account, as long as it is for the same website.&#x20;

If you have several syncs for several websites, you will need one subscription per website.

Some of our customers set up one sync for each of their collections. We do not recommend this if you have reference fields for example, as you run the risk of referencing fields that might not yet be created/updated in Webflow. But it is possible.


# How many CMS collections can I sync under one plan?

There is no limit in number of Collections in Webflow. The limits are the number of CMS items.

For example with a Starter plan, and 500 CMS items maximum, you can have 1 collection with 500 CMS items, or 500 collections with 1 item each. This will be the same for PowerImporter.


# Can I sync items to Webflow with a certain status in Airtable?

The trick is to create a view in Airtable with a filter that only displays records that have been reviewed and validated for syncing by yourself.

Then, in PowerImporter, go to Edit > Step 3, and map that view to your collection.&#x20;

PowerImporter will only sync the records that are visible in that view.&#x20;

This also means, if a record ever disappears from the view, PowerImporter will automatically delete it from Webflow. That's useful if you want to automatically purge old records after a certain time.
